Work Order: What It Is, the Types, and How it Differs from a Work Request
A work order is the authorized instruction to carry out a specific maintenance job: what to do, on which asset, by whom, with what parts. It’s easy to confuse with a work request, but a request is someone asking for work; the work order is the approved job that follows. The request opens the door; the work order does the work.
Why is a work order important?
A work order matters because maintenance that runs on verbal requests and memory loses track of what was done, on which asset, with what parts. A clear work order gives every job an owner, a scope and a record, so nothing falls between shifts and the asset history stays intact. Without it, work gets duplicated, missed or left invisible to maintenance management.
What are the main types of work order?
Most work orders fall into a few clear types:
- Corrective, to fix something that failed, often from breakdown maintenance.
- Preventive, scheduled work from a preventive maintenance
- Emergency, raised on the spot for a safety or breakdown crisis.
- Inspection, a routine check written up as a job.
- Each carries the asset, the task, the parts, the owner and the time.
How does a work order differ from a work request?
Request versus authorized job. A work request is anyone flagging that something needs attention. A work order is the approved, scheduled job that comes from it, with the asset, task, parts and labor defined. Not every request becomes an order; the review in between is where priorities get set. The order is what maintenance management actually plans and tracks.
