Definition

What Is Safety Inspection Software?

Safety inspection software is a tool that turns paper safety checklists into digital safety inspections. Inspectors use a safety inspection app on a tablet or smartphone, online or offline, record hazards with photos and sign on site. Every result is stored with time stamp and audit trail, which gives evidence for internal safety audits and supports ISO 45001 processes.

AI Import

Start With the Safety Checklist You Already Have

No need to rebuild your forms. The AI import turns a Word, Excel or PDF checklist, or a photo of the paper sheet, into a digital inspection that you check and release.

Your inspectors work through the same checks as before, only on their phone. The import is available from the Standard plan.

Workflow

How a Safety Inspection Works in flowdit

  1. Choose the checklist for the area, from the template library or from your own forms.
  2. Scan the QR code, barcode or NFC tag at the machine or work area. The right checklist opens.
  3. Answer the checks. A “not OK” can require a photo and a note.
  4. The finding becomes a corrective action with an owner and a due date, and reminders follow until it is done; if it stays open, a rule can escalate it.
  5. The PDF report with photos and signature is ready the moment the inspection ends.

Offline

Safety Inspections on Tablet or Smartphone, Even Offline

Inspections loaded while online can be completed without signal, whether in a basement, on a rooftop, offshore or at the far end of a large site. Readings, photos and signatures stay on the device. They sync automatically when the device reconnects. Each check is saved with date and time, and the GPS position of the device can be recorded with it.

The app runs on the iPhone, Android and Windows devices your team already carries, and on ATEX-certified devices for hazardous areas. Photos or videos can be added to any check. Voice input works too, and every inspector can work in their own language.

Example

Safety Inspection Example: A Damaged Machine Guard

During a routine machine safety inspection, the inspector finds a damaged guard. They mark the check as not OK and take a photo.

The finding becomes a corrective action for the responsible person, with a deadline. When it is closed, a photo of the fix can be added, and the report shows who fixed it and when. This is where flowdit differs from a simple form app: the inspection is not finished when the form is sent, but when the corrective action is closed.

Checklists

Safety Inspection Checklists

The flowdit template library has 149 safety checklist templates, including OSHA-based checklists for ladders and for hand and power tools. Each one can be adapted to your site. A few examples:

Dashboards

Safety Dashboards for Every Site

The dashboard shows completed inspections, open and overdue corrective actions, filtered by site and line, and inspections can be assigned once or as recurring tasks.

Through the open API, the data also goes to Power BI.

Industries

Industries Using flowdit for Safety Inspections

flowdit is used for safety inspections in manufacturing, oil and gas, chemicals and food production, on single sites and across many plants. CTS Offshore and Marine replaced paper checklists for its offshore and maritime inspections with flowdit. In the published case study, inspection times dropped by 82% and report errors by 98%.

Buying Guide

How to Choose Safety Inspection Software

Many apps put a form on a phone, and that alone will not make a site safer. Check these points first.

  • Offline use: the inspector should finish the check in a basement, a tank farm or on a roof, with photos and signature, and sync later.
  • Ask what happens after a finding. When it needs a corrective action, you should be able to assign an owner and a deadline and track it until it is closed, with a photo of the fix.
  • Import of existing checklists from Word, Excel or paper should work without typing every question again.
  • Look for QR code, barcode or NFC tags at the machine. A scan opens the checklist for that machine.
  • Reports with photos should be ready when the walk ends.
  • Public prices per user and a trial with your own team make the decision easier.

flowdit supports all six. Test them with your own checklists in the free 14-day Premium trial, no card needed.

FAQ | Safety Inspection Software

It is software for carrying out and documenting workplace safety checks on a mobile device. A digital checklist replaces the paper form, hazards are recorded with photos, and the report is ready when the walk ends.

An inspection checks the condition of a machine, area or piece of equipment at a given moment. An audit checks whether the safety system works as a whole, for example against ISO 45001. flowdit handles both with the same checklists, actions and reports.
