CAPA: What It Is, the Process, and Corrective vs Preventive Action

CAPA stands for corrective and preventive action: the structured way an organization fixes a problem and stops it recurring. Corrective action deals with the issue that already happened; preventive action stops a potential one before it does. Two halves, one closed-loop process, and it’s a backbone of most quality systems.

Why is CAPA important?

CAPA matters because it turns a one-off fix into a lasting solution: it corrects a problem and then stops it, and similar problems, from coming back. A working corrective and preventive action process reduces repeat defects, customer complaints and audit findings, which is why it is a core requirement of most quality management systems and standards like ISO 9001 and IATF 16949. Without it, teams keep firefighting the same issues.

What are steps in the CAPA process

A CAPA that actually closes runs a set loop:

  • Contain the immediate problem, so it stops spreading now.
  • Find the real cause with root cause analysis, not the first guess.
  • Take corrective action on that cause.
  • Take preventive action where the same cause could bite elsewhere.
  • Verify it worked, then close, with evidence, not a hopeful note.

How does corrective action differ from preventive action?

Reacting versus pre-empting. Corrective action addresses a problem that has already happened, so it can’t recur. Preventive action addresses a risk that hasn’t happened yet, spotted through data, an internal audit or a near miss. Corrective looks back; preventive looks forward. A mature quality system runs plenty of both.

It walks containment, root cause, corrective and preventive action, and verification on one closed-loop form, so a CAPA doesn’t close on a hopeful note. Download the checklist (PDF). You can also complete the checklist digitally in flowdit on your phone, tablet or PC.
