Project Handover: What’s In It, and How to Close It Out Cleanly
Project handover is the formal transfer of a finished project from the team that built it to the people who’ll operate it: the documentation, the training, the open items and the sign-off. It’s the moment ownership changes. Do it on a handshake and the operator inherits problems nobody wrote down.
Why is project handover important?
Project handover is the moment ownership and responsibility change hands, and doing it on a handshake means the operator inherits problems nobody wrote down. A structured handover pack, with documentation, training, closed punch items and sign-off, is what prevents disputes and downtime after go-live. It is the last gate before operational readiness, so any gap left here follows the asset for years.
What belongs in a handover pack?
A clean handover is a package, not a conversation:
- As-built drawings and the final documentation set.
- O&M manuals and equipment data for the assets being handed over.
- The closed punch list, with evidence that criticals are done.
- Training records, so the operator’s team can actually run it.
- Warranties, spares lists and the sign-off that transfers responsibility.
How does handover differ from commissioning?
Commissioning proves the system works; handover transfers it to the owner. Commissioning and its punch list have to be effectively closed before handover, because you can’t hand over what isn’t finished. Handover is the paperwork and the responsibility changing hands, the last gate before operational readiness.
Commissioning vs project handover at a glance
Proving it works versus handing it over.
| Aspect | Commissioning | Project Handover |
|---|---|---|
| Job | Prove systems work | Transfer to the operator |
| Output | System acceptance | Signed handover pack |
| Changes | System status | Ownership and responsibility |
| Comes | First | At the end |
