Acceptance Protocol: What It Is, and How It Differs from the Acceptance Test
An acceptance protocol is the signed record that an acceptance test was carried out and what it found: the checks, the results, the open items and the sign-off. The acceptance test is the activity; the protocol is the document that proves it happened and transfers responsibility. No protocol, no evidence of acceptance.
Why is an acceptance protocol important?
An acceptance protocol matters because without a signed record there is no proof an acceptance test ever happened, or who accepted the result. If a fault appears later, the protocol shows what was checked, what passed and who signed off, which is what transfers responsibility from supplier to operator. No protocol means disputes and no clean handover.
What does an acceptance protocol record?
It turns a test into a defensible record:
- What was tested, against which specification.
- The results of each check, pass or fail.
- Any open or punch items, with owners and dates.
- Deviations accepted, and by whom.
- The signatures that transfer responsibility.
How does it differ from the acceptance test ?
Activity versus record. A factory acceptance test or site acceptance test is the testing you run. The acceptance protocol is the signed document that captures it and makes acceptance official. The test proves the equipment works; the protocol proves the test happened and hands the equipment over toward project handover.
