How to Use This Checklist

  • Record the basics. Start by entering the date the list is prepared, who prepared it, and the location it applies to. This frames the work and makes the list easy to trace later.
  • Describe the task. Under task details, write a clear description of what needs to be completed so there is no ambiguity about the work involved.
  • Assign an owner. Enter the name of the person responsible for the task. A single owner keeps accountability clear and avoids work falling between people.
  • Set the priority and status. Choose a priority level of high, medium, or low, and set the current task status to not started, in progress, on hold, completed, or cancelled. Use the due date to make the timeline visible.
  • Track progress and notes. Record the task completion progress as work moves along, and use the additional notes or comments field for clarifications, blockers, or context.
  • Close out and sign off. When the task is finished, mark the status as completed, enter the finished at time, and apply a signature where formal sign-off is required. Record the inspection real start date and inspection real end date if you need to capture the actual time window of the review.

What a good to-do list covers

This to-do list template is built around the details that make tasks actionable rather than just memorable. Each entry captures the task itself, the person assigned to it, how urgent it is, where it stands, when it is due, and how far along it is. A priority level marks each item as high, medium, or low, so the most important work is visible at a glance. Current task status uses a clear scale: not started, in progress, on hold, completed, or cancelled. A due date keeps timelines honest, and a task completion progress field shows how far along the work really is. Additional notes or comments give you a place to record context, blockers, or clarifications, while a signature field can be used where sign-off is needed. Baseline details — when the list was conducted, who prepared it, and the location — anchor the work to a time, a person, and a place. Finished at, inspection real start date, and inspection real end date let you capture the actual timing of the review.

What it covers

The template is organised into two sections: **to-do list** and **task details**. It is designed for both individual and team workflows, so it can be used by someone organising their own priorities or by a team coordinating work across a project. Because the fields are simple and adaptable, the same checklist fits any department or project.

Frequently Asked Questions

The template captures who is accountable for each item through the assigned owner field, so every task has a single person responsible for moving it forward.

Priority level uses a High, Medium, or Low scale, and current task status uses a five-stage scale: Not Started, In Progress, On Hold, Completed, or Cancelled. Due date and progress tracking sit alongside these so priorities stay visible.

A high-priority task should be started or actively worked. Set status to In Progress when work begins, use On Hold only when there is a real dependency, and move to Completed only once the progress field reflects the work being finished.

The finished at field can be recorded when entering the finished at date and time. Keep the inspection real start date and end date separate if you want to track the time window of the review itself. The template does not impose a specific interval for checking progress.

The signature field is available when a task requires formal sign-off, and the prepared by field can be signed off when the list is closed. This gives a simple, auditable record of who prepared and approved the list.

The template is designed for both individual and team workflows, so it can be used by a single person managing their own tasks or by a team coordinating work across a project.

Use the additional notes or comments field and the describe the task field for any clarification, blocking issue, or context that is not covered by the standard fields.
