How to Use This Checklist
- **Set the purpose.** Define the purpose of the Business Continuity Plan, including which critical IT functions, systems, and services are prioritized for recovery during an emergency or operational disruption.
- **Record the basics.** Note the date conducted, who prepared the plan, and the location.
- **Assess operations at risk.** For each IT function identified as critical to business operations, complete the fields below to assess risk levels and document recovery strategies. Ensure all key systems, applications, and infrastructure components are thoroughly evaluated and that backup procedures are clearly outlined.
- **Document each critical function.** For every critical IT function, record the IT equipment or program name, the function description, the rated impact on business continuity, the impact description, the recovery strategy, and any additional IT equipment, backup programs, and alternate operations systems required. Rate the impact as Critical, High, Medium, or Low.
- **List the team.** List all key personnel involved in the business continuity plan. For each team member, document their designated role, current contact information, and a detailed description of their specific responsibilities during an IT emergency or system disruption. Ensure alternates are identified for critical roles.
- **Capture each team member.** Record the representative name, role or title, contact details (phone and email), description of responsibilities, and signature.
- **Close out.** Record the finished time, the actual start date, and the actual end date of the inspection.

What is IT business continuity planning?
IT business continuity planning is the work of preparing your IT infrastructure and software development operations to keep running through an emergency or operational disruption, and to recover the systems that matter most. It covers your backup strategies and programs, the order in which critical functions, systems, and services are brought back, and the contingency procedures and alternate operations systems that carry you in the meantime. This checklist is the tool that helps you establish those strategies and document them in a form the emergency response team can act on.
Basis of the plan
Start by defining the purpose of the plan, including which critical IT functions, systems, and services are prioritized for recovery during an emergency or operational disruption. Record the date conducted, who prepared the plan, and the location. Setting the purpose and scope first keeps every later assessment tied to the operations that genuinely matter to the business.
Operations at risk and recovery
This is the core of the plan. For each IT function identified as critical to business operations, you assess risk levels and document recovery strategies, and you make sure all key systems, applications, and infrastructure components are thoroughly evaluated and that backup procedures are clearly outlined. For every function, capture: - the IT equipment or program name - the function description - the rated impact on business continuity, chosen from Critical, High, Medium, or Low - the impact description - the recovery strategy - any additional IT equipment, backup programs, and alternate operations systems required Rating the impact gives you a clear way to rank work: functions rated Critical or High should be recovered first, with the recovery strategy and required backup programs documented before a disruption happens.
Roles and responsibilities
A plan only works if people know what they are doing when systems fail. List all key personnel involved in the business continuity plan. For each team member, document their designated role, current contact information, and a detailed description of their specific responsibilities during an IT emergency or system disruption. Ensure alternates are identified for critical roles, so that cover exists if a designated person is unavailable. Record the representative name, role or title, contact details such as phone and email, description of responsibilities, and signature for each person.
Who carries out the plan
The plan is typically prepared by the IT function, with input from the rest of the organization on how each critical system supports business operations. The same personnel listed in the roles and responsibilities section form the emergency response team, with named alternates for critical roles.
Reviewing and completing the checklist
Work through the plan's sections in order, capture the finished time, the actual start date, and the actual end date of the inspection, and revisit the record whenever systems, applications, infrastructure, or personnel change. Keeping the impact ratings, recovery strategies, and contact details current is what makes the plan usable when a disruption occurs.
