Supplier Assessment Checklist
Based on

How to Use This Checklist

  • **Plan the assessment.** Confirm the scope of the evaluation and the operational standards the supplier is expected to meet. Familiarise yourself with the six sections so you know what evidence to look for: Audit, Management Responsibility, Fundamentals, Food Safety and HACCP Systems, Quality Systems for Production, and Regulatory Considerations.
  • **Record the audit details.** In the Audit section, capture the date conducted, who prepared the assessment, the location, and the real start and end dates and times of the inspection.
  • **Review management responsibility.** Assess management commitment and review, then work through the Fundamentals requirements: infrastructure, hygiene, pest control, chemical control, human resource practices, training and development, handling, storage and delivery, supplier qualification, material control, traceability and crisis management, calibration and measuring and testing equipment, food safety, and maintenance.
  • **Evaluate food safety and quality systems.** Under Food Safety and HACCP Systems, cover HACCP audits, microbiological testing, environmental controls, food allergens and chemical sensitivities, and foreign body control. Under Quality Systems for Production, cover conformance to customer specifications, good laboratory practices, process control, document control and record keeping, ongoing assurance, corrective and preventive actions, continuous improvement, customer service, and labeling approval.
  • **Assess regulatory considerations.** Review regulatory compliance and labeling approval, and note anything that requires follow-up. Address non-conformances through corrective and preventive actions.
  • **Rate each requirement.** Use the four-point scale for each item:
  • - **Compliant** — the requirement is met.
  • - **Partially Compliant** — the requirement is only partly met.
  • - **Non-Compliant** — the requirement is not met.
  • - **N/A** — the requirement does not apply.
  • **Sign off and record completion.** Enter the signature and the time the assessment was finished so the record is complete.
  • > Rate every requirement consistently. A record built on the same scale is far more useful when you compare suppliers or revisit an assessment later.

What a supplier assessment is

A supplier assessment is a structured evaluation of whether the operational standards of a supplier meet the requirements you place on it. It documents compliance with required criteria and supports decisions about supplier suitability. The assessment is organised into six sections: Audit, Management Responsibility, Fundamentals, Food Safety and HACCP Systems, Quality Systems for Production, and Regulatory Considerations.

Why development matters

Working through the assessment gives you a consistent view of how a supplier operates day to day: how management reviews its commitments, how the site is maintained, and how safety and quality are controlled. It also helps identify where corrective and preventive actions are needed and where continuous improvement should be pursued, so issues can be addressed rather than left unrecorded.

What a good supplier assessment covers

A thorough assessment covers the full scope of the supplier's operations. The sections and the requirements they contain include: **Audit** - Conducted on - Prepared by - Location **Management Responsibility** - Management commitment and review **Fundamentals** - Infrastructure - Hygiene - Pest control - Chemical control - Human resource practices - Training and development - Handling, storage and delivery - Supplier qualification - Material control - Traceability and crisis management - Calibration and measuring and testing equipment - Food safety - Maintenance **Food Safety and HACCP Systems** - HACCP audits - Microbiological testing - Environmental controls - Food allergens and chemical sensitivities - Foreign body control **Quality Systems for Production** - Conformance to customer specifications - Good laboratory practices - Process control - Document control and record keeping - Ongoing assurance - Corrective and preventive actions - Continuous improvement - Customer service - Labeling approval **Regulatory Considerations** - Regulatory compliance - Labeling approval Where a recognised framework such as HACCP applies, it is assessed under the food safety and HACCP systems requirements. The regulatory considerations section covers regulatory compliance and labeling approval for the requirements that apply to the supplier.

Answer scale

Each requirement is rated on the same four-point scale, so that findings are recorded consistently across the whole assessment: - Compliant - Partially Compliant - Non-Compliant - N/A Use N/A where a requirement does not apply. The completed record also captures the date the audit was conducted, who prepared it, the location, a signature, the time it finished, and the real start and end dates of the inspection.

How to use this checklist

The Supplier Assessment Checklist supports the assessment step by step. It gives you a defined set of requirements to examine across the six sections and a consistent scale for recording what you find, so the completed record reflects the supplier's actual operational standards. Use it to organise the evaluation, to document compliance with required criteria, and to support an assessment of supplier suitability.

Frequently Asked Questions

A supplier assessment is a structured evaluation of whether a supplier meets the operational, food safety, quality and regulatory criteria your organisation requires. It examines management commitment and review, fundamentals such as infrastructure, hygiene, pest control, chemical control, human resource practices, training and development, and handling, storage and delivery, as well as food safety and HACCP systems, quality systems for production, and regulatory considerations.

Each area is assessed against a common scale of Compliant, Partially Compliant, Non-Compliant or N/A. This lets you record the findings for every requirement consistently and compare them across suppliers or over time.

The checklist is organised into six sections: Audit, Management Responsibility, Fundamentals, Food Safety and HACCP Systems, Quality Systems for Production, and Regulatory Considerations. The Audit section records the date conducted, who prepared it and the location; the remaining sections evaluate the supplier against the requirements within each area.

The Fundamentals section looks at the operational foundations of the site: infrastructure, hygiene, pest control, chemical control, human resource practices, training and development, and the handling, storage and delivery of materials. These areas underpin the safety and quality of what the supplier produces.

HACCP is a recognised food safety system, and the checklist assesses food safety and HACCP systems alongside HACCP audits and microbiological testing. It also covers environmental controls, food allergens and chemical sensitivities, and foreign body control, all of which relate to controlling hazards in food production.

Supplier qualification, material control, and traceability and crisis management are assessed under Fundamentals. These requirements support the ability to identify and respond to issues that arise in the supply chain.

When a requirement is not met, the Corrective and Preventive Actions, Ongoing Assurance and Continuous Improvement requirements give you a way to record how the supplier will address the finding and prevent it from recurring, and how improvement is assured over time.

The Quality Systems for Production section covers conformance to customer specifications, good laboratory practices, process control, document control and record keeping, ongoing assurance, corrective and preventive actions, continuous improvement, customer service and labeling approval. Together these evaluate whether the supplier can consistently meet the quality requirements placed on it.

The Regulatory Considerations section covers regulatory compliance and labeling approval, so the assessment records whether the supplier meets the regulatory requirements that apply to its products and labeling.

The relevant regulations depend on your jurisdiction and the products concerned; the checklist provides the Regulatory Considerations section for recording regulatory compliance and labeling approval rather than citing a specific standard. The same applies where recognised standards such as HACCP are named: the checklist assesses them plainly without paraphrasing their requirements.

Yes. The Audit section captures the date it was conducted, who prepared it, the location, a signature, and the real start and end dates and times of the inspection, so each completed assessment carries a record of who inspected, where and when.

Yes. It is designed for evaluating the operational standards of suppliers, documenting compliance with required criteria and assessing suitability. You can use the completed record to support decisions about whether a supplier continues to meet your requirements.
