How to Use This Checklist

  • **Record the inspection details.** Enter the date, your name, and the site location at the top of the checklist. This identifies who carried out the inspection and where.
  • **Work through each applicable section.** The checklist is divided into a general HVAC maintenance inspection and equipment-specific sections: air conditioning, heat pump, electric heater, gas furnace, and dual-fuel heat pump furnace. Complete only the sections for the equipment types present on site.
  • **Record the status of every check.** Each item is answered with one of three responses: **Okay**, **Action required**, or **N/A**. Mark any irregularity as Action required and note the required action.
  • **Report to the customer.** Where the checklist asks you to inform the customer of deviations or irregularities, pass on the findings and the recommended actions.

HVAC maintenance inspections

HVAC maintenance inspections keep heating, cooling and ventilation systems in good working order. The goal of this checklist is preventive maintenance: catching worn belts, dirty coils, loose electrical connections and low refrigerant levels before they become breakdowns. The checklist is organised into a general HVAC maintenance inspection and separate sections for the equipment types you will find on site. Work through each applicable section for the equipment present, record the status of every check, and report any irregularities and required actions to the customer.

Frequently Asked Questions

This checklist covers preventive maintenance of heating, cooling and ventilation systems. It includes a general HVAC maintenance inspection and dedicated sections for air conditioning, heat pumps, electric heaters, gas furnaces, and dual-fuel heat pump furnaces.

Each item is recorded with one of three responses: 'Okay', 'Action required', or 'N/A'. If you find an irregularity, record the required action and report it to the customer.

Checks include adjusting the thermostat, inspecting the condenser coil, checking wiring and electrical connections, checking blower belts for wear and tension and adjusting them, checking motor voltage and current draw with a meter, checking the compressor contactor, visually inspecting the compressor and checking its current draw, checking the start capacitor and potential relay, and checking the pressure switch cut-out setting.

The air conditioning section includes replacing the air filter or cleaning it if reusable, installing gauges and checking the operating pressure, checking the refrigerant (Freon) level and reporting whether adjustments are required, checking the condensate drain and pan and reporting any irregularities, checking the temperature of the expansion valve and the coil, lubricating parts as needed, checking the evaporator coil and reporting whether it is dirty or needs cleaning, and checking the condition of the overall system and informing the customer of any deviations.

The heat pump section includes checking whether the indoor and outdoor units turn on, checking bearings and lubricating the blower motor if required, checking blower belts for wear and tension and adjusting them if needed, checking that electrical connections are tight, checking the evaporator coil to determine whether it needs cleaning, checking the voltage at the unit, checking the current draw of the blower motor, checking the electric heating elements with an amp probe and voltage, checking the condenser motor bearings and lubricating them if needed, checking the condenser motor current draw, checking the refrigerant (Freon) level, checking the compressor current draw, checking the crankcase heater if installed, checking the defrost control, checking the function of the reversing valve, checking the coil temperature, checking the condensate drain and pan and reporting any irregularities, visually inspecting the piping system, and checking the condition of the overall system and informing the customer of any deviations.

Yes. The electric heater section includes checking the thermostat, the indoor unit, bearings and blower motor lubrication, blower belts, the evaporator coil, the voltage at the unit, the current draw of the motor, the current draw of individual elements and total element current draw, the heating control, electrical wiring and connections, temperature rise, supply air temperature, the thermal cut-out switch, a visual inspection of the piping system, and the overall system condition with reporting to the customer.

Yes. A gas furnace section is included, along with sections for air conditioning, heat pumps, electric heaters, and dual-fuel heat pump furnaces.

Yes. The dual-fuel heat pump furnace section is part of the checklist's equipment-specific coverage. It includes checks such as adjusting the thermostat, checking the indoor unit, replacing or cleaning the air filter, checking bearings and lubricating the blower motor, checking blower belts for wear and tension, checking the evaporator coil, checking the voltage at the unit, and confirming the overall system condition.
