Internal Audit 9001/14001/18001
Based on

How to Use This Checklist

  • Enter the audit context on the checklist: conducted on, prepared by, and location for both office and site audits.
  • Work through section 1, Management System, to confirm the system, structure, process groups, management manual, control loop (PDCA) and objectives are known and understood.
  • Follow section 2, Own Process (Project / Order), through the sequence from quotation and feasibility review to execution, procurement, project management, documentation, site organisation, measurements, acceptance and archiving.
  • Work through section 3, Occupational Safety / Health / Environment, checking that working conditions have been instructed and that safety-related records and site arrangements are in place.
  • Answer each question using one of the two scales provided: 100%, 50%, 0%, n.a. or Yes, No, n.a. Use n.a. only where an item genuinely does not apply.
  • Log anything that needs correction in the Actions section, with an owner and a due date, and record wider observations in Improvement Suggestions and Notes.

What this audit covers

This checklist supports a comprehensive internal audit for both office and site work, following the 9001, 14001 and 18001 standards. It is built around three areas of investigation: the management system in general, your own process as it applies to a project or order, and occupational safety, health and the environment. There are 100 questions in total, with space for improvement suggestions, notes and actions so that findings can be turned into corrections and improvements rather than left as observations.

Checking the management system in general

The first part of the audit tests whether the system is actually understood and used, not merely written down. You confirm that the management system is known and clearly understood, that the structure and process groups are known, and that the management manual is known. You check that the meaning and purpose of the system are clear, that the internal information platform is in order, that customer satisfaction figures are known, and that the control loop (PDCA) is understood. You also check that the quality management application is known and applied, that your own process (order or project) is known, that organisation and business unit objectives are known, and that information or a presentation was received from the business unit manager.

Auditing your own process (project / order)

The second and largest part of the audit follows a project or order through your defined process. It covers: - **Work execution:** work is carried out according to the defined process, the process specification is known, the team structure is defined and documented, and project risks are identified. - **Quotation:** the quotation is prepared and recorded, recorded in the customer relationship system, reviewed for feasibility, supported by a documented risk analysis, given a quotation number and prepared on the quotation sheet. - **Documentation:** the project or order is documented, and contract checklists, execution documents and a signed order sheet have been applied. - **Contractual basis:** the purchase order, the customer's purchase order, the work contract, the order confirmation and any additional orders or supplements are available and documented. - **Procurement and purchasing:** A-suppliers are preferred, price comparisons and purchasing records are documented, and liability and warranty periods are known and reviewed. - **Project management:** the target specification is defined, project status is known and documented, invoices and progress payments are in order, debtors and open items are in order, and to-do items are in order. - **Documents:** documents are clearly identified, carry the correct date and approval signature, show valid or invalid status, and are traceable and comprehensible. - **Site organisation:** the site folder is available, checklists have been applied and the information board is available. - **Measurements and handover:** measurements are carried out and recorded, the installation indicator or label is available, intermediate inspections are in order, acceptance and handover are in order, and measurement and test records are in order. - **Archiving:** old projects are archived, including completed projects older than one year.

Occupational safety, health and the environment

The third part of the audit addresses occupational safety, health and the environment. It checks that working conditions have been instructed. Alongside this, the site-related checks in the process section — site organisation, the site folder, the information board, measurements, intermediate inspections and acceptance — give you the evidence you need to confirm that safety, health and environmental practice is being followed on site as well as in the office.

Scoring and recording your findings

The checklist provides two assessment scales: 100%, 50%, 0%, n.a. and Yes, No, n.a. Use the scale that suits the question, and reserve n.a. for items that genuinely do not apply. Because the audit covers both office and site, and both system-level and project-level checks, use the context fields — conducted on, prepared by and location — to record where and when each audit took place. Use the Improvement Suggestions and Notes section for anything worth acting on beyond a simple score, and use the Actions section to record what will be corrected, by whom, and by when. Following up those actions is what turns the audit from a snapshot into an improvement.

Frequently Asked Questions

Run it as a structured walk-through of how the office and the site operate against your management system. Work section by section: first confirm the general management system is known and understood, then follow a project or order through your own process from quotation to archive, and finally check occupational safety, health and the environment. Score each item using the scales provided (100%, 50%, 0%, n.a., or Yes, No, n.a.), record what you find, note improvement suggestions, and raise actions with owners so the audit leads to change rather than a finished document.

It is an internal audit template for use in both the office and on site, covering the management system as a whole, the audit of your own process for a project or order, and occupational safety, health and the environment. It is used to check conformity with the 9001, 14001 and 18001 standards and contains 100 questions with assessment scales and space for improvement suggestions and actions.

Because it tests whether the system is actually being lived, not just written down. The checklist asks whether the management system is known and clearly understood, whether the structure and process groups are known and the management manual is known, whether the meaning and purpose of the system are clear, whether the control loop (PDCA) is understood, and whether the quality management application is known and applied. It also checks that organisation and business unit objectives are known and that information was received from the business unit manager.

It checks the things that determine whether work is under control: that the process specification is known, the team structure is defined and documented, and project risks are identified; that quotations are prepared, recorded, reviewed for feasibility and supported by a documented risk analysis; that contract and execution documents, order sheets, purchase orders, order confirmations and additional orders are in place; that procurement records and liability and warranty periods are reviewed; that project status, invoices, progress payments, debtors and to-do items are in order; that documents are clearly identified, dated, approved and traceable; that site organisation, the site folder, checklists and the information board are in place; and that measurements, intermediate inspections, acceptance and handover are recorded before projects are archived.

It checks that working conditions have been instructed as part of the occupational safety, health and environment section. The checklist also covers site organisation and safety-related records such as measurements, intermediate inspections and acceptance, so that safety, health and environmental practice can be verified in the same audit as quality and process conformity.

The template lists two assessment scales: 100%, 50%, 0%, n.a. and Yes, No, n.a. Use the scale that fits the question, answer every item, and use n.a. when an item genuinely does not apply rather than leaving it blank.

It supports the internal audit work required by a management system: checking that the system is understood and applied, that projects and orders follow defined processes and leave traceable records, and that safety, health and environmental controls are in place on site. It gives you a consistent set of checks so the same areas are examined every time.

Record them in the dedicated improvement suggestions and notes area. Where a finding needs correction, log it in the actions section with an owner and a due date, and follow it up at the next audit.
